Fuel pricing and compliance for multi-site retailers
Price every site tonight. Prove every check was done.
PumpOps recommends a price for every station each round, shows you what the market is doing and what your overrides are worth — and keeps the inspections, records and documents behind the same login, in one calm place.
Built for owners running one station or fifty.
Two jobs, one system
The two things that decide your year live in the same account.
What you charge sets the margin. What you can prove keeps the licence. Most operators run the first on a spreadsheet and the second on paper, and neither one talks to the other.
A price for every site, every round — with the reasoning attached.
The engine reads competitor prices, cost and your own volume history, then proposes a number bounded by rules you set. Approve it, or type your own and see what the difference was worth.
Every inspection, record and document in one place.
Checks land on the right person's phone and come back stamped with who, where and when. Records file themselves into a packet, so a handover is a review rather than a search.
The pricing engine
Tonight’s round is one screen. Ten decisions, in order, with the reason next to each.
Today’s round
Approve the model’s number, or overrule it on the record.
One row per site — current price, model price, the move, and the sentence explaining it.
Overrides are measured — your price is recorded against the model's, so tomorrow's report shows what your judgement was worth.
Stale data holds — a competitor price older than six hours is ignored and the site stays where it is.
Strategy & rules
Change a rule once instead of overriding it every night.
Levers for target margin, how hard you follow the cheapest competitor, the maximum daily move, and how often the engine may re-price. Move one and the projection updates against the strategy currently applied. Nothing reaches a pump until you apply it.
Compliance
The paperwork half: a short list of what needs you, and a clipboard in your pocket.
Right now it’s spread across a binder in the back office, a group text, and someone’s camera roll. Pricing is never blocked by compliance — but a site with an open finding is one you want to know about.
Once filed, a record stands. A correction is a new record, and both are kept.
How it works
Set it up once. Then it mostly runs itself.
Add your stations
Name, address, facility ID, fuel grades and delivered cost. Requirements and competitor sets attach themselves from that.
Set the strategy
Target margin, how hard you follow the market, the maximum daily move, and which checks each site runs. That is the whole setup.
Work the round
Each evening: approve or edit the recommended prices, and clear whatever compliance put on the short list. Both take minutes.
Everything in PumpOps
One place for the whole operation.
Network
Every site’s price, position against nearby competitors, margin and volume for the period, in one board.
Today’s round
One row per site: current price, model price, the reason, and approve or edit. Everything posts together.
Strategy & rules
Named strategies with levers and hard guardrails. Change a rule once instead of overriding nightly.
Reports
What the model earned, what your overrides earned, and what was left on the table — measured the same way every night.
Needs you
The short list. Overdue checks, expiring documents, open findings and sites with nobody assigned.
Guided inspections
One question per step on the phone, photos where proof matters. Time, place and person attach themselves.
Packets & documents
Records collect into a bundle as they arrive, with every expiry date watched so nothing lapses quietly.
People & roles
Owner, admin and site user. Invite by email and attach people to the stations they cover.
Multiple accounts
Manage more than one company from a single login and switch between them without signing out.
Roles
Everyone sees exactly their part.
Three roles, no permission matrix to design. Staff never see the office; the office never has to file an inspection by hand.
Owner
Holds the account. Adds and removes stations, sets billing, invites admins, and is the only one who can delete anything permanently.
Admin
Runs the day to day. Works the pricing round, tunes strategy, configures which checks apply where, and prepares packets.
Site user
Works in the phone app only. Sees the checks for their own stations, files them, and looks back at what they filed. Nothing else.
How does the engine decide a price?
It reads the confirmed competitor prices around each site, your delivered cost, and how that site’s volume has responded to past moves — then proposes the price that best fits the strategy you set. The reason is written next to every recommendation.
Can it change prices without me?
Only if you want it to. By default every move waits for approval, and nothing posts until you approve the round. Guardrails bound what the engine may ever propose.
What happens when I overrule the model?
Your price is recorded against the model’s number. The next report shows the difference in gross profit, so overriding is measured rather than argued about.
Where do competitor prices come from?
They are crowd-sourced and confirmed by drive-by survey, and every price carries the time it was seen. Anything older than six hours is ignored and the site holds.
Do I need to build my own checklists?
No. The checks come ready-made. You switch on the ones that apply to a station and choose how often they run — there is no form builder to learn and nothing to maintain when things change.
What happens if the crew has no signal?
The phone app works fully offline. Checks, photos and notes are captured on the device and sync as soon as it finds a connection, with the original timestamp intact.
Can someone go back and change a record?
No. Once a record is filed it stands. If something was wrong, the check is run again and both records are kept, so the history stays honest.
How long does setup take?
Most accounts are running the same day. Add your stations, pick what applies, invite the people who work at each site. We will do it with you on a call if you would rather.
What if we run just one station?
It works the same. One station means one price to set each round, one short list of checks, and a complete record you can hand over without hunting for anything.
